Lots and expiry tracking
Register lots as stock-in through the stock ledger and keep an eye on lots that are about to expire.
When to use
Use this when goods arrive in batches with expiry dates, or when you want a regular check on lots nearing expiry.
Before you start
- Permissions:
lots:readto view and export,lots:writeto create, deactivate, and import lots. The near-expiry report needslots:read. - Toggles: none for this app.
- Choose the warehouse for every lot; it is required.
Steps
Register a lot
In Distribution → Lots, create a lot with its number, item, quantity, and warehouse. Creating a lot posts the opening stock through the stock ledger. A duplicate lot number is rejected.
Import lots from CSV
Use CSV import to register many lots. Problem rows are reported so you can fix and re-import.
Check near-expiry lots
Open Distribution → Reports and review the near-expiry lots list.
Deactivate a lot
Deactivating a lot reduces its stock through the ledger, so it is not just a label change.
Tips & common mistakes
- Lots belong to Inventory; Distribution only registers them through the ledger.
- Deactivate only when you really want to remove the stock, since it is written down in the ledger.
- Review near-expiry lots on a regular rhythm, not only when a customer complains.
