Generate documents from documents

Each document in the sales chain can create the next one, so nothing is retyped and the document chain stays linked.

When to use

Use it whenever you move a deal forward: Quotation → Sales Order → Delivery Order → Invoice.

Steps

Open the source document

Open the quotation (/sales/quotations), sales order (/sales/orders) or delivery order (/sales/delivery-orders).

Use the Create button

Only the Create… buttons that are valid for the current status and your permissions appear. A button that is right for the status but blocked by data shows greyed out with the reason.

Review the pre-filled form

The new document opens with the lines and the remaining quantities from the source. You can create from part of the lines, so one quotation can feed several orders.

Check the chain

The source and the new document link to each other in the document chain on the detail page.

Tips & common mistakes

  • The remaining quantity counts every live child document, including drafts, so you cannot convert more than the source holds.
  • If two people (or a double click) create from the same source at the same time, one wins and the other receives a 409 conflict; no duplicate document is created.
  • Typing more than the remaining quantity is refused with a message, never silently capped.
  • Quotation lines of type product go to a Sales Order and service lines to a Service Management order; a mixed quotation offers both.
