Delivery monitoring and handover
After goods leave the warehouse, XBuddy tracks each delivery order, checks that the delivery file is complete and prints a handover record from the delivered order.
When to use
Use it to see which deliveries are late or stuck, to collect proof of delivery (POD), and to make sure the accountant has a complete file before invoicing.

Steps
Watch the board
Open Sales → Delivery Orders (/sales/delivery-orders) and switch between the table and the board. Cards sit in status columns with the longest-waiting first, and the counters show late deliveries, cash on delivery not yet collected and incomplete files.
Record the delivery
On delivery, enter who received the goods and when, capture the signature, and give a reason for any rejected line.
Check the delivery file
The delivery file card on the detail page lists what is missing. The “missing documents” filter uses the same definition.
Print the handover record
Once the order is delivered, print the handover record, or download the delivery pack as a zip.
Invoice
Create the invoice from the delivery order. With the gate on, an incomplete file shows the invoice button disabled with the reason.
Tips & common mistakes
- Late means the expected or scheduled date is before today in your company’s date, and the order is still in progress.
- Before delivery the file shows a neutral “check after delivery” state, not a red failure.
- The signature is stored in the signature ledger, not on the delivery order itself.
- A rejected line never left the warehouse: it is not a customer return. Create a new delivery order from the sales order to resend it.
- The handover record is a printout of the delivered order, there is no separate document; it can only be printed once the order is delivered.
