- Long-term PAdES digital signatures — Sign with a USB token, a provider HSM (remote signing), or SMS OTP / passkey (WebAuthn). Signatures embed an RFC 3161 timestamp and revocation data (OCSP/CRL), reaching PAdES-B-LTA so they stay verifiable for years. A signature verification screen checks any PDF. One shared signature ledger now covers offer letters, asset handover records, milestone acceptance and review forms.
- Signature level per document type for approvals — Admins choose per document type: no signature, handwritten, signature + email OTP, biometric, or OTP/biometric. Print/PDF for 25 document types now includes approver signatures.
- Full retail POS — Counter stock, issue mode confirmed by a storekeeper, store stock (supplier receipts, transfers, stock counts), e-invoices for retail sales (beta), combos/bundles with per-component tax, recipe-based ingredient consumption and F&B online orders settled through POS.
- Units of measure per item — Each item carries its own UoM set and conversion factors, used across purchasing, inventory and sales.
- Generate documents from documents — Quotation, SO, DO, PR, RFQ, PO, GRN, supplier bill and service-contract detail pages show only the “Create …” actions valid for the current status; two people clicking at once no longer create duplicates.
- Delivery monitoring & handover records — DO tracking board, complete/incomplete delivery packs, POD signatures and a handover record printed from the delivered DO.
- Document numbering — Number formats by fiscal year/company/type, plus a policy for manual numbers (auto / auto-editable / manual required).
- Field Service: internal vs external jobs — Asset maintenance orders create internal jobs (not billed, costed to a cost center); customer jobs must have a payer. Adds job types, versioned job templates with material/labour norms, batched material requisitions and a dispatch board.
- Outsourced labour & hourly services — From a contractor’s hours to payout (with PIT withholding for individuals), internal charges and T&M invoices to the customer — each hour paid once and billed once.
- Time logs: OT on the line, edits after approval — Log overtime directly on a time-log line, adjust approved hours with an audit trail, one approval inbox for time.
- Projects: templates v2, statuses & approvals — Structured project templates, configurable project statuses with approval gates, project roles, project/private meetings, tasks linked to deliverables; project detail metrics (hours, unbilled, committed) with drill-down.
- Tasks — “Review required” flag, review scoring criteria, dependency gates by task type, daily log with subtasks and Submit for review.

- Employee Requests — A new module for every kind of internal request beyond leave: purchase proposals, advances, travel, equipment, and more. Each request type gets its own form, a multi-person approval chain, real attachments, SLA reminders, partial approval and send-back for more information, a post-approval fulfillment stage, backlog reporting, and an AI assistant that chases overdue requests. Fully available on mobile.
- Multi-company tenants — Data isolation between sibling companies is now enforced end-to-end (no more reading another company’s record via a direct link), and switching companies reissues your session so every figure follows the entity you selected. The number of legal entities is now a purchasable quota (the Companies add-on).
- Seats and seat groups — Replacing the “tenant subscription” model, customers now buy seats grouped into seat groups, each holding its own packs. Every price (packs, suites, add-ons, volume discount tiers) now comes from one pricing catalog shared by the website, the app, and platform invoices. The Admin group’s first web seat is free.
- Complete white-label custom domains — Run XBuddy on your own domain: same-origin serving, your branding in the UI, outbound email under your brand, and support for customer-supplied TLS certificates.
- Customer self-service helpdesk portal — End customers create and follow their own tickets through a dedicated portal, with a satisfaction survey on close. Internally: a ticket creation page, inline replies, canned responses, live SLA badges, and an SLA-breach sweeper.
- Service Management — 8-tab reporting hub — The SLA report was rebuilt on the shared SLA engine, tickets gained quick actions and task linking, and the Agents / Catalog / Billing pages and the materials queue are now complete.
- CRM — proper lead-to-deal conversion — A new qualify pipeline, configurable stage-gate criteria for both leads and deals, CRM and Customer Success renewals merged into a single pipeline, a rebuilt tabbed Deal Detail page, a Sales Rep roster, and the ability to log blockers directly on a lead or deal.
- Sales analytics with drill-down — Lead Analysis, Deal Analysis and Customer Analysis now support full filtering, period-over-period comparison, change columns, group subtotals, and sales forecasting — click any variance figure to see exactly the records behind it.
- Genuinely multi-standard accounting — Convert between TT200 → TT99/2025 and VN ↔ IFRS, with an IFRS chart-of-accounts template and posting driven by semantic mapping keys (expanded from 4 to 24, declared per standard) instead of hard-coded Vietnamese account prefixes. As a result the Balance Sheet, P&L, fixed-asset posting, POS gift cards and VAT filing all work correctly on non-Vietnamese charts.
- Subledger-to-ledger reconciliation — Reconcile AR, AP and bank balances as of any date; import and export statements in Bank Feeds; and post a statement-only item and match it in the same transaction. QuickBooks/Xero sync now uses real credentials.
- Accounting dimensions in the ledger — Project is now a first-class ledger dimension; dimensions flow through every posting path and can be filtered on the cash-flow reports.
- Document publishing and read receipts — Publish a document to a target audience and track who has acknowledged it, with a dedicated “Documents to read” page. Every upload now passes malware scanning (ClamAV) and a sensitivity clearance check.
- End-to-end serial number tracking — Pick serials on goods issue, stock transfer, delivery orders and POS sales; receive serials from PO into goods receipt; handle partial returns; and reverse in the correct direction when a transfer is cancelled.
- Procurement approval chains — Purchase orders, RFQs, vendor returns and debit notes now route through a single approval gate, with separation of duties (a submitter cannot approve their own document).
- Projects — one definition per number — Hourly rate cards, client re-billing of expenses, always-on project member directories, and a single Gantt engine (horizontal scrolling, day/week/month zoom, task dependencies) replacing the previous two.
- Employee Time 360 — Every time record is traceable back to its source, timesheet detail is available inside the approval queue, weekly approval cascades down to individual time logs, and project reports always state their period and coverage.
- Advanced task management — Task dependencies now show on both the kanban board and the table view, comments support @mentions and threaded replies, task reviews feed the performance KPI engine, and progress can be set from mobile.
- 3P payroll — Salary grade and band catalogs, a competency-band pay coefficient ladder, a payout-curve engine (floor / target / cap), and grade-based formula templates — plus transparency and maker-checker controls on payroll input data.
- Remote MCP server — Connect external AI assistants (such as Claude) to your XBuddy data over the MCP standard, exposing read-only tools and fully respecting each user’s permissions.
- In-app documentation — Read the product documentation without leaving XBuddy, with a dedicated AI assistant for asking questions about it.

- Contract Intelligence — the legal AI can now read the contract — The Contract Lifecycle assistant extracts the actual contract text (PDF/DOCX), segments it clause by clause, compares each clause against your company’s clause playbook, scores risk using transparent weights (not a number the model invented), and proposes redlines — all gated behind human approval.
- Multi-standard consolidation — Accounting can consolidate a group whose subsidiaries use different accounting standards (TT200/TT99/TT133/IFRS) at the same time, with a group chart mapping, intercompany elimination and automatic currency translation adjustment (CTA).
- TT133 for small and medium enterprises — Full support for Circular 133/2016/TT-BTC alongside the existing TT200/TT99, so each subsidiary in a tenant can use the standard that fits its size.
- Unified time capture — Attendance, billable/non-billable timesheets, shifts and rosters now share one cross-app data model, plus a month-close workflow before payroll so time data cannot be edited after payroll has run.
- Internal e-signature — Beyond signing with external counterparties, XBuddy now supports internal signing flows (employees acknowledging policies, minutes and confirmations) inside the platform.
- Project risk management as a real process — Project risks now have status, an owner and a response plan instead of being a static list; project costs post straight to the general ledger with per-category budgets.
- Major AI Copilot upgrade — Chat now understands units of measure, currency and the meaning of each data column before answering (sharply reducing wrong answers from mixing units or currencies), and says “I cannot read that data yet” instead of guessing when no suitable tool exists.
- Both mobile apps redesigned — XBuddy Office (managers) and XBuddy Work (frontline) were rebuilt across nearly every screen: dispatch hub, inventory, attendance, quality NCRs with GPS-tagged photos, personal HR, quotations, invoices, approvals, team chat, and an AI Agent panel on 29+ detail screens.
- Standardized confirmation for risky actions — Browser dialogs replaced with XBuddy’s own confirmation system: destructive actions (delete, cancel, void) require typing the reference code or explicitly acknowledging the consequences.

- AI Agents restructured — from 260+ individual agents into 21 domain Assistants — Instead of hundreds of scattered agents that were hard to choose between, each business domain (Finance, CRM, HR, Operations…) now has a single AI Assistant, containing multiple specialized skills that run in the background. This was the first step of a consolidation that continued through July (see the terminology note below).
- Units of measure and alternative-unit conversion — Buy or sell in one unit (case, carton) while inventory tracks the base unit (piece, kg), with automatic conversion applied across quotations, orders, goods receipt and goods issue.
- Clear split between Products & Services and Inventory Items — A firm boundary between the non-stock sales catalog (services, subscriptions, licenses) and goods with real stock tracking, removing a long-standing source of catalog confusion.
